FAQ

Questions churches actually ask

Including the uncomfortable ones. If something here is unclear, it is a fault in the answer rather than in the question.

What it actually does

What happens after someone fills in your guest form?

Follow-up starts on its own, anchored to the Sunday they visited. That Sunday they get a short thank-you text. Monday, a personal check-in text. Tuesday, your church's own weekly information email. Wednesday, either an AI phone call or a short devotional email, depending on whether you have AI Calls switched on. Thursday is deliberately quiet. Friday, an invitation back. Saturday, your Sunday invitation email. The following Sunday, a welcome-back text.

If they reply at any point, the sequence stops and the conversation comes to your team.

What if we enter Sunday's connection cards on Tuesday?

The week still lands correctly. Follow-up is anchored to the day the guest actually visited, not to the moment you typed them in — so the Sunday thank-you is a Sunday message and the Monday check-in arrives on a Monday, even when you do your data entry midweek.

Does it keep messaging people forever?

No. The first-time journey is eight days and then it is finished. A guest who never responded moves into a much lighter re-engagement sequence rather than nothing at all, and someone who replies or returns leaves the automated track entirely.

Does it work if nobody on our staff is logged in?

Yes. Follow-up runs on our servers on a schedule. Nobody needs to have SundayLoop open, and nothing waits for a person to press a button.

The AI, honestly

Does it pretend to be a real person?

It never claims to be a specific human being — not your pastor, not a staff member, not someone who was at the service. That rule is built in and cannot be switched off.

It also does not open messages by announcing that it is an AI, because that is not how a follow-up team texts. But if someone asks directly whether they are talking to a person or a bot, it answers honestly every time. It will not deny being automated.

Can it make things up about our church?

It answers only from what you have given it — your church profile, and optionally your own website. When neither covers a question, it says it does not have that information and offers to connect the person with someone from your team. It is instructed never to reason from how churches 'usually' work, because that is exactly how a wrong service time gets sent with total confidence.

What happens if a guest says something serious?

A crisis, grief, abuse, a mental-health emergency, a request for pastoral counselling, or anyone asking to speak to a person — the AI stops and hands off. It never tries to counsel anyone. A task is created for your team, an email goes to your church admins, and for the urgent ones we also text the mobile number you set for alerts, because an email can sit unread until Monday.

Consent, opt-outs, and the law

How do you handle consent?

Your guest form asks separately about texts, emails, and automated calls, and records exactly which boxes were ticked, the wording that was on screen at the time, and when. A channel someone did not tick is recorded as declined rather than left blank, so 'they did not agree to this' can never quietly become 'we may do it anyway'.

What happens when someone replies STOP?

Everything stops immediately — every channel, not just texts. Their queued follow-up is cancelled, their record is marked opted out, and no further automated message can be sent to them. START and HELP are handled too, as required.

Can a guest ask to be deleted?

Yes, and you can do it yourself from their record — it removes them and their messages rather than hiding them. You can also export everything you hold as a CSV at any time.

Your data

Can another church see our guests?

No. Every record in SundayLoop belongs to exactly one church, and every query the product makes is scoped to the church of the person asking. The AI is given only your church's own knowledge — it cannot answer from another church's information, because it is never given it.

Do you sell or share our data?

No. Your guests' details are yours. We use third parties to actually deliver the messages — a texting provider, an email provider, a phone provider, and a model provider for the AI — and nothing beyond what is needed to send is passed to them.

What if we leave?

Export your visitors as a CSV first, then close the account. Closing it removes your church's data rather than parking it indefinitely.

Setup and billing

How long does setup take?

Three steps: your church details, a few facts the AI should know, and your first guest. Your own texting number is provisioned for you in the background. Before any guest hears from you, you can send yourself a real test text and email and watch them arrive.

Do we need to change our phone number?

No. Your church gets its own dedicated texting number from us, so guests always see the same number and replies come back into SundayLoop.

How many of our team can use it?

Every plan includes 2 team members, and additional people are $15.00 each per month. We show you the cost before you add anyone.

What happens if a card fails?

Follow-up keeps running for 14 days while you sort it out, and we tell you clearly rather than quietly stopping. Guests are never told anything about your billing.

Can we cancel?

Any time, from your own billing settings. Follow-up keeps running until the end of the period you have already paid for.

Still deciding?

The clearest answer to most of these is to see it running against a guest you add yourself.
